Who issues the invoice
Every invoice is issued by Real Estate Ollopa11 Ltd, company number 13697786 (incorporated 22 October 2021), registered office 128 City Road, London EC1V 2NX, United Kingdom. The company is registered with Companies House and operates across several European markets, but all contractual and invoicing liability sits with the UK legal entity.
Invoice format and content
Each invoice contains the following mandatory information in accordance with UK HMRC Notice 700 and applicable European accounting standards:
- Sequential and unique invoice number in the format WS-YYYY-NNNN.
- Issue date, supply date (stay period) and due date.
- Full legal name, address and company number of both parties.
- Itemised description of the services (property address, number of nights, number of guests, period).
- Currency, net amount and total.
- Bank details for settlement (IBAN, SWIFT/BIC, beneficiary bank and any intermediary).
- Reference number, purchase order (PO) or project code if requested at booking.
Currencies and payment methods
Workers Stay accepts payments in several currencies through regulated banks and PCI DSS-certified payment providers. We accept the following:

We do not accept cash, cryptocurrency or third-party payments. Payment must originate from a bank account or card held in the name of the invoiced legal entity. This is part of our AML and KYC procedure under the UK Money Laundering Regulations 2017 and the EU 6th Anti-Money Laundering Directive.
Payment terms
- Standard terms: Net 10 days from invoice date unless otherwise agreed in writing.
- Recurring monthly bookings: invoiced monthly in advance on the 25th of the preceding month.
- Larger projects (>30 nights or >50,000 EUR): 50 % on confirmation, 50 % on arrival.
- Late-payment interest: under the Late Payment of Commercial Debts (Interest) Act 1998 for UK clients and article 3 of Directive 2011/7/EU for EU clients.
- Reminder fee: 40 EUR per reminder after a 7-day grace period. Statutory collection costs may be added.
Verifying a payment to us
If the Client's bank, AML function or centralised procurement office requires further verification of a transfer to Workers Stay we provide the following documents within one business day:
- The original invoice and any credit note.
- The signed booking agreement or Master Services Agreement.
- Certificate of Incorporation and the latest Confirmation Statement from Companies House.
- A Bank Confirmation Letter for our receiving account.
- UBO declaration and sanctions screening on request from regulated counterparties.
- Proof of delivery (booking confirmation, check-in and check-out logs).
Requests should be sent to billing@workersstay.com with the invoice number and the name of the requesting institution.
Disputes and credit notes
Any objection to an invoice must be raised in writing to billing@workersstay.com within 7 days of the invoice date. We follow international accounting standards and never amend an issued invoice — instead we issue a credit note followed by a new, corrected invoice. This ensures full traceability in the Client's accounting and to its auditor.
Disputes do not entitle the Client to withhold the entire invoice. The undisputed portion shall be paid on the due date and only the contested amount may be temporarily withheld pending resolution.
Payouts to property owners
Workers Stay administers payouts to property owners under a self-billing arrangement. Standard process:
- Workers Stay issues a self-invoice in the name of the Owner, including all mandatory accounting information.
- Payout takes place on the 5th of the month following the month of departure, to a bank account in the same legal entity's name.
- Commission is deducted directly from the payout and shown separately on the self-invoice.
- Receipts, statements and PDF originals of every self-invoice are available in the Owner Panel and archived under UK accounting law.
Refunds
Refunds are governed in full by our Refund Policy. As a default, confirmed B2B bookings are non-refundable. Where a refund is nonetheless granted under that policy, the same payment method as the original payment is used, within 14 banking days from the date the right to a refund is established.
Record retention
All invoices, receipts, payment proofs and accounting records are archived for 6 years from the end of the financial year, in accordance with HMRC record-keeping requirements. Records are archived encrypted in EU-based cloud infrastructure.
